Refunds and Cancellation Policy

Purpose

This policy explains what happens when you cancel your Estate-HQ subscription, what refunds are available, and how your data is handled after cancellation.

Free trial cancellation

You may cancel at any time during your 30-day free trial. No charge is made. Your account and data are retained for 30 days after trial cancellation so you can export or reactivate. After 30 days the account and all data are permanently deleted.

Monthly subscription cancellation

You may cancel a monthly subscription at any time from your billing page in the platform. Cancellation takes effect at the end of your current billing month. You keep full access until that date. No refund is issued for the remaining days of the current month. After cancellation your account is paused and your data is retained for 90 days. You can export all data or reactivate during that period. After 90 days all data is permanently deleted.

Annual subscription cancellation

You may cancel an annual subscription at any time from your billing page. Cancellation takes effect at the end of your current annual period. You keep full access until that date. No refund is issued for the remaining months of the current annual period except in the circumstances described below.

Exceptional refunds (annual plans only)

We will issue a pro-rata refund of the unused portion of an annual subscription in the following circumstances:

• We make a material change to the Terms of Service or the platform that removes a feature you rely on and you cancel within 30 days of notice of that change.
• We introduce a new sub-processor and you object within 30 days of our notice and cancel as a result.
• We are unable to provide the 99.9% uptime SLA on Agency plans for two consecutive months (measured against actual downtime excluding scheduled maintenance).
• We terminate your account other than for cause.

No refund circumstances

No refund is due where: you cancel a monthly plan mid-month; you cancel an annual plan in ordinary circumstances; your account is terminated for breach of the Terms of Service or Acceptable Use Policy; or you simply change your mind after the free trial has ended.

Data after cancellation

You can export all your data at any time during the retention period from your account settings (GDPR Article 20 compliant export in JSON + files format).
