These Terms of Service govern the contract between UNIVERSALHOMEANDTECH LTD (trading as Estate-HQ) and any letting agent or agency that subscribes to the Estate-HQ platform. By signing up for a trial or paid plan you agree to these terms. If you are signing up on behalf of a business, you confirm you have authority to bind that business.
Estate-HQ is offered to businesses only — letting agencies, sole-trader letting agents acting in the course of their trade, and other businesses managing residential lettings. By signing up you confirm that you are entering into this contract in the course of your business or trade. Accordingly, consumer-protection legislation that applies only to contracts with consumers (including the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013 cooling-off provisions and equivalent regulations) does not apply to your subscription.
Estate-HQ is a hosted CRM platform for UK letting agents. Features include property and tenancy management, compliance certificate tracking, rent collection, tenant and landlord portals, e-signature, maintenance management, and related tools as described on estate-hq.com at the time of subscription. We may add, modify or remove features with reasonable notice. We will not remove a feature that is material to your plan without offering a price reduction or allowing you to cancel without penalty.

Annual plans save 17% versus monthly. All prices are in GBP. The Company is not VAT registered — prices shown are the full amount charged. Custom enterprise pricing is available for portfolios above 5,000 properties — contact [email protected].
Every plan starts with a 30-day free trial. No credit card is required at sign-up. You can use the full features of your chosen plan during the trial. At the end of the trial your account is paused unless you select a plan and complete payment. No charge is made if you do not activate a plan.
Payment is made via Revolut. We send you a payment link by email at the start of each billing cycle. A copy of every invoice goes to your billing email address. Payment is due within 7 days of the invoice date. If payment is not received within 14 days the account may be suspended. Suspended accounts retain data for 90 days before deletion.
Annual subscribers pay the full year upfront. Switching from monthly to annual applies from the next renewal. Switching from annual to monthly applies from the next renewal.
You are responsible for keeping your login credentials secure. You must not share account access with people outside your agency. You are responsible for all activity that occurs under your account. Notify [email protected] immediately if you suspect unauthorised access.
You own all data you enter into Estate-HQ. We process it only as described in the Data Processing Agreement (DPA). You can export all your data at any time from your account in JSON and file format (GDPR Article 20 compliant). On cancellation, data is retained for 90 days then securely deleted.
You must use Estate-HQ only for lawful letting agency purposes in accordance with the Acceptable Use Policy. You must not use the platform to process data for purposes unrelated to letting agency management, resell access to third parties, attempt to reverse-engineer or copy the platform, or upload unlawful content.

Scheduled maintenance will be communicated in advance where possible. The uptime target for Agency plans excludes scheduled maintenance and events outside our reasonable control (see Force Majeure).
If actual uptime in any calendar month falls below the published target on an Agency plan, the affected Customer may request a service credit of 10% of that month's fee for each full 1% below target, capped at 100% of that month's fee. Service credits are the sole remedy for missed uptime targets and must be requested by email within 30 days of the affected month.
The Estate-HQ platform, its code, design, documentation and brand are owned by UNIVERSALHOMEANDTECH LTD. Your subscription gives you a non-exclusive, non-transferable right to use the platform for your own letting agency operations. You retain all rights to your own data. You may not copy, resell, sublicense or white-label the platform. Bespoke white-label or reseller arrangements may be available under a separately negotiated written agreement — contact [email protected] if you wish to discuss.
Nothing in these terms excludes liability that cannot legally be excluded, including liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be limited by law.
Subject to the above, our total liability to you in any 12-month period is limited to the fees you paid us in that period. We are not liable for indirect, consequential, or pure economic losses, loss of profits, loss of data (beyond our backup obligations), or loss of opportunity arising from use of the platform.
You are responsible for ensuring that your use of the platform complies with all applicable law, including landlord and tenant law, GDPR, the Tenant Fees Act, and any other regulation applicable to your letting agency.
We provide the platform on a commercially-reasonable basis. To the maximum extent permitted by law, we exclude all implied warranties (including warranties of merchantability, fitness for a particular purpose, and non-infringement) other than those that cannot be excluded under the Sale of Goods Act 1979, the Supply of Goods and Services Act 1982, the Consumer Rights Act 2015 (to the extent applicable), or other mandatory law. You are responsible for verifying that the platform meets your operational and legal needs before relying on it.
We are not liable for any failure or delay in performing our obligations caused by events outside our reasonable control. These include (without limitation): failures of our hosting provider, internet service providers, payment processors or other sub-processors; DDoS or similar cyber attacks; government action, law-enforcement orders or court orders; war, terrorism, civil unrest, strikes or labour disputes; pandemic, epidemic or natural disaster; or disruption to the public internet routing infrastructure. Where a force majeure event lasts more than 30 consecutive days, either party may terminate the affected subscription with written notice without further liability and we will issue a pro-rata refund of any unused annual subscription.
We may update these terms. We will give you at least 30 days notice of material changes by email to your registered address. If you do not accept the changes you may cancel your subscription before the change takes effect and receive a pro-rata refund of any unused annual subscription. Continued use after the effective date constitutes acceptance.
You may cancel at any time from your billing page. Your access continues until the end of your current billing period. We may terminate your account immediately for serious breach of these terms or the Acceptable Use Policy, with written notice. On termination for cause, no refund is due.
These terms are governed by the laws of England and Wales. Any dispute that cannot be resolved by negotiation will be subject to the exclusive jurisdiction of the courts of England and Wales.
